1. Scholarship payment

Scholarships are paid in monthly payments, at latest on the 7th day of the respective month (scholarships for the month of January could be paid in February – this is a possible exception) to the scholarship holder’s bank account. SAIA is sending scholarships only to bank accounts registered in SEPA countries (Single Euro Payments Area, www.ecb.europa.eu). Scholarship holders shall send to SAIA in Bratislava name, address and SWIFT/BIC code of a bank operating in SEPA system, and also a bank account number opened in the respective bank in a form of IBAN, where he/she will be receiving the scholarship in euro currency.  Please, note that the bank account should be also denominated in euro currency, because, if it will be denominated in other currency, exchange differences and fees related to scholarship transfer or currency exchange may occur, and the scholarship holder shall pay them.

The first scholarship payment will be paid after the scholarship holder will submit to SAIA in Bratislava the following documents:

  • Student:

Before the beginning of his/her scholarship stay in Slovakia, the scholarship holder shall submit to SAIA in Bratislava original hard copy of a notary certified bachelor's diploma, a signed Letter of Acceptance and a confirmation on studies valid for the respective academic year (confirmation issued by scholarship holder's home university that the scholarship holder is a regular student of the respective university). The first scholarship payment will be paid after the scholarship holder will provide SAIA in Bratislava with his/her bank account number, where his/her scholarship will be transferred, and he/she will submit to SAIA in Bratislava original hard copy of a Confirmation on the beginning of his/her scholarship stay (the confirmation is issued by his/her host institution in Slovakia).

 

  • PhD Student:

Before the beginning of his/her scholarship stay in Slovakia, the scholarship holder shall submit to SAIA in Bratislava original hard copy of a notary certified master's diploma, a signed Letter of Acceptance and a confirmation on studies valid for the respective academic year (confirmation issued by scholarship holder's home university/research organisation that the scholarship holder is a regular PhD student of the respective institution). The first scholarship payment will be paid after the scholarship holder will provide SAIA in Bratislava with his/her bank account number, where his/her scholarship will be paid, and he/she will submit to SAIA in Bratislava original hard copy of a Confirmation on the beginning of his/her scholarship stay (the confirmation is issued by his/her host institution in Slovakia).

 

  • University teacher/researcher/artist:

Before the beginning of his/her scholarship stay in Slovakia, the scholarship holder shall submit to SAIA in Bratislava original hard copy of a notary certified diploma with the highest academic degree achieved and a signed Letter of Acceptance. The first scholarship payment will be paid after the scholarship holder will provide SAIA in Bratislava with his/her bank account number, where his/her scholarship will be paid, and he/she will submit to SAIA in Bratislava original hard copy of a Confirmation on the beginning of his/her scholarship stay (the confirmation is issued by his/her host institution in Slovakia).

 

Note: Every scholarship holder must submit to SAIA in Bratislava original hard copy of a Confirmation on the beginning of his/her scholarship stay. The confirmation is issued by scholarship holder’s host institution and it must be issued on its official headed paper. The confirmation must contain: scholarship holder’s name and surname; the exact date of the beginning of his/her scholarship stay; name, surname, position and contact details of person who issued the confirmation. The confirmation must be signed by the person who issued the confirmation (the signature must be original, not a copy or scan). In case that the scholarship stay lasts several month, the first scholarship payment could be paid after the scholarship holder will submit to the financial programme manager a scan (e-mail attachment) or a fax of the Confirmation on the beginning of his/her scholarship stay in Slovakia. Nevertheless, the scholarship holder must submit the original hard copy of the Confirmation on the beginning of his/her scholarship stay to SAIA in Bratislava as soon as possible; otherwise, his/her scholarship payments will be stopped.

 

2. Reporting

In case that the scholarship stay lasts longer than 6 months, the scholarship holder must submit to SAIA in Bratislava a Scholarship stay interim report (report should be submitted after the completion of the 6th month of the stay). For this purpose, the scholarship holder must use the STRUCTURE OF THE SCHOLARSHIP STAY FINAL REPORT. University students must also submit an official Transcript of records or a Confirmation on completing the exams for the 1st semester of their study stay. The scholarship payment for the 7th month will be paid within 10 days from the submission of the original hard copy of scholarship holder’s Interim report to SAIA in Bratislava and after its acceptance by SAIA. Payments for the following months will continue as agreed, at lastest on the 7th day of the respective month.

Not later than 15 days before the completion of his/her scholarship stay, the scholarship holder shall submit to SAIA in Bratislava a Scholarship stay final report. For this purpose, the scholarship holder must use the STRUCTURE OF THE SCHOLARSHIP STAY FINAL REPORT. Together with the Final report, the scholarship holder must submit to SAIA in Bratislava original hard copy of a Confirmation on the completion of his/her scholarship stay issued by scholarship holder’s host institution. Confirmation must be issued on its official headed paper. The confirmation must contain: scholarship holder’s name and surname; the exact date of the completion of his/her scholarship stay; name, surname, position and contact details of person who issued the confirmation. The confirmation must be signed by the person who issued the confirmation (the signature must be original, not a copy or scan). University students must also submit an official Transcript of records or a Confirmation on completing the exams for the whole study stay. In case that the programme administrator finds the Final report unsatisfactory, he/she will ask the scholarship holder to rewrite the Final report and submit it to SAIA in Bratislava within 15 days. In case that some of the attachments (Confirmation on the completion of the scholarship stay, Transcript of records) are missing, programme administrator will ask the scholarship holder to submit the missing attachments to SAIA in Bratislava within 30 days. The Scholarship stay final report is considered submitted only after its acceptance by SAIA in Bratislava.

The last scholarship payment, referring to the last month of the scholarship stay, will be paid within 10 days since the submission of the original hard copy of the scholarship holder’s Final report with all the required attachments to SAIA in Bratislava and after its acceptance by SAIA in Bratislava.

Students and PhD students will receive a travel allowance together with their last scholarship payment, in case they have applied for it and in case they were awarded the travel allowance.

 

3. Medical examination

Scholarship holders whose scholarship stay in Slovakia lasts longer than 3 months and who are citizens of countries outside the European Union, European Economic Area and Switzerland are obliged to submit to the foreign police office a confirmation that they do not suffer from any disease threatening public health within 30 days from being awarded the temporary residence. Scholarship holders will be reimbursed the costs related to medical examination and issuing of this confirmation, up to 250 € per scholarship holder, after delivering original of the bill issued by the respective medical institution to SAIA, n. o., in Bratislava. A list of competent medical institutions will be provided to scholarship holders by the respective foreign police offices in Slovakia. Scholarship holders are obliged to deliver the bill to SAIA, n. o., in Bratislava within 60 days from the beginning of their scholarship stay; otherwise, they will lose their right for the reimbursement of the costs.

 

4. General information

Scholarship holder must arrange all the issues related to his/her stay in Slovakia him-/herself (health insurance, visa, accommodation, Invitation Letter from a higher education institution/research organisation in Slovakia).

Scholarship holder must inform the programme administrator about the changes related to the date of the beginning of his/her stay in Slovakia and about the changes related to the duration of his/her stay in Slovakia (i.e. his/her scholarship stay will be shorter; it is not possible to prolong the scholarship stay).

  • If the changes related to the date of the beginning of scholarship holder’s stay in Slovakia or the changes related to the duration of scholarship holder’s stay in Slovakia vary in less than 15 days, the programme administrator can be informed about these facts via e-mail (if he/she agrees with this form of communication).
  • If the changes related to the date of the beginning of scholarship holder’s stay in Slovakia or the changes related to the duration of scholarship holder’s stay in Slovakia vary in more than 15 days, the scholarship holder must submit to SAIA in Bratislava original hard copy of an official request.
